AI Prompt Library for a Sustainability Team
This article gives sustainability teams a ready-made set of prompts for using Utility Genius across a multi-site portfolio. Utility rebates and state and federal incentives can cover a meaningful share of efficiency and electrification costs, but programs differ by utility, change often and come with their own rules.
Use these prompts to:
- Map every site to its utility and see which programs are open.
- Decide which markets and projects to tackle first.
- Track program changes and rate cuts that affect your locations.
- Give site leads clear checklists for pre-approval, inspections and caps.
- Stack utility rebates with state and federal funding for decarbonization.
- Summarize incentive opportunities for your capital plan and leadership.
Note: AI tools differ in their capabilities, and some handle certain outputs better than others. Use these prompts as a starting point, and refine them based on your AI tool’s response to get the best results.

Mapping the portfolio and setting priorities
- Map every site to its utility. “Here are the zip codes for our [40] locations: [paste list]. Map each one to its electric utility, group the sites by utility, and tell me which utilities have open commercial programs for LED, controls, HVAC and VFDs.”
- Choose which markets to retrofit first. “We’re planning an LED high-bay retrofit at our distribution centers in [OH, PA, IL, TX, GA]. Rank the utilities serving those states by rebate per fixture for High-Bay Luminaires. Flag any program that’s Partial or In Transition.”
- Check a standard equipment spec across states. “Our standard RTU replacement is an Air Source Unitary Heat Pump (Packaged). In [MD, TX, CA, PA, GA], show the downstream incentive for that category by utility, the unit it’s paid on ($/ton vs. per unit), and any efficiency requirements.”
Tracking program changes
- Monthly change report. “Across our buildings tagged ‘[Portfolio]’, what changed in incentive programs in the last 30 days? For each change, list which of our locations are affected and whether the rate went up or down.”
- Warning on rate cuts. “Which Networked Lighting Controls incentives have been cut in the last 90 days, and where? Should we speed up any projects?”
Running projects at scale
- Pre-approval checklist. “Pull the full program details for [utility] for LED and HVAC: pre-approval steps, inspection requirements, deadlines, and project and customer caps. Format it as a checklist our site leads can follow.”
- Check incentive caps. “For utilities serving our [Portfolio] locations, which ones have per-customer or per-project caps that a multi-site rollout under one account could hit?”
- Midstream vs. downstream. “We buy lighting through a national distributor. In [states], which utilities offer midstream (instant discount at purchase) incentives for LED and controls, and which offer only downstream rebates we’d have to apply for?”
Decarbonization and stacking incentives
- Electrification roadmap. “We’re building a decarbonization roadmap for [states]. Which utilities offer incentives for heat pumps (packaged, VRF, ductless mini-split) or heat-pump water heaters to replace gas equipment? What state or federal grants, loans or tax credits could stack on top?”
- State and federal funding scan. “For each state in our portfolio, summarize state and federal grants, loans and tax credits for HVAC, lighting and EV charging. Label each one Open, In Transition or Closed.”
Reporting to leadership
- Capital plan summary. “For our [Portfolio] locations, rank the utilities by incentive richness for LED, controls and HVAC upgrades. Flag programs that are closing or in transition, and give me a summary I can put in our FY[2027] capital plan.”
Conclusion
These prompts give your sustainability team a repeatable way to find, track and capture incentives across every site in your portfolio, from the first utility map to the capital plan. Grounding project decisions in current program data helps you sequence retrofits where rebates are richest, stack utility and government funding for electrification, and avoid surprises from rate cuts, caps or closing programs. Start by tagging your locations in UtilityGenius Buildings and running the site-to-utility map, then make the monthly change report part of your regular routine so your roadmap always reflects the latest incentives.
